How to initially get your wines into Personal Wine Curator

So you've been managing your wines in a spreadsheet?

Wonderful, it's now time to take all that hard work and use it to jumpstart your collection of wines in Personal Wine Curator!

This guide describes what we need from you to have a successful import for a simple single-worksheet spreadsheet. If you are looking to import a multi-worksheet spreadsheet please contact us via Chat to get started.

We don't like to use general CSV files because they don't respect UTF-8 (the funny looking characters in common wines like Mourvèdre and Châteauneuf-du-Pape). We don't want your wines to get funky characters in them like Ch‰teauneuf-du-Pape 😦 We can accept an Excel file that you prepare for us. Sample file is linked to below.

You will need to match up your field with our field names.

Required fields, everything else is optional

  • Wine Name

  • Producer

Field Definitions

Date Created & Date Modified

We accept the default Excel date format of 2004-02-12T15:19:21+00:00 but can accept most date formats like 2010-01-23, don't worry about this field we will adjust the format for you as necessary before processing.

Bottle Size

Enter your own OR match our options. If you go to add wine in the app and search the bottle size field you can lookup the ones we have built in our system.

Added By

The name of the person who added the wine.

Alcohol Percentage

Use whole numbers. Also known as ABV.

Vintage

The year the grapes were all, or primarily, grown and harvested in.
Use four digits (E.g. 2002) or NV for Non-vintage wines.

Type

One of the following: Dessert, Fortified (non-dessert), Red, Rose, Sparkling or White

Body

Only accepted values: Light, Medium or Full

Varietal

The type of grape primarily used to make the wine. If you go to add wine in the app and search the varietal field you can see which ones we use.

Distinction

Distinction is a unique concept to Personal Wine Curator that encompasses varietal and region. If you go to add wine in the app and search the distinction field you can lookup the ones we have built in our system. We use the distinction to drive food and wine pairings and also to provide aging potential so you can calculate the optimal drink after and drink by dates. 

Vineyard

Where the grapes were grown.

Custom ID

If you have your own unique way of labeling your wines, use Custom ID and we will store this with your wine for searching.

Barcode Number

If you have generated barcodes we will display the barcode for you to print labels. Read more about barcodes and labels equipment we use here.

Price

Please exclude the currency symbol, you can adjust your currency in the settings.

Quantity

The number of bottles in your cellar.

Quantity On Order

The number of bottles on order.

Location

The location of your wine, we recommend using Bin numbers for quickly locating your wines but you can enter whatever you want.

Value Per Bottle

Please exclude the currency symbol, you can adjust your currency in the settings.

In Wish List

You "Wish List" is a list of wines that you do not have in your cellar but would like to have in your cellar.
Leave blank for not in wish list OR use "Yes" to mark a wine as on your Wish List.

Maturity

Maturities are automatically calculated based on Drink after and Drink by dates. We don't allow you to import Maturity. Learn more about Maturities and Drink After / By dates here.

Drink after year

Use four digits (E.g. 2002) OR leave blank.

Drink by year

Use four digits (E.g. 2002) OR leave blank.

Notes

General notes on the wine.

Grapes

Enter the names and optionally the percentage of the grape separated by a comma. E.g. "97% Cabernet Sauvignon, 3% Carmenere" or just "Cabernet Sauvignon, Carmenere"

Region, Sub Region & Country

Maturities are calculated based on Region, Sub Region & Country. For the calculation to work your imported region must match one of our system Regions which you can find in the app by searching the region field when adding a wine.

If you use one of our system regions, you only need to submit a Region column and a Country column. To get the exact region name in our system, just go to add wine in the app and search for it in the region field. You only need to submit the first part that is displayed. So if you search for "Anderson", you'll see "Anderson Valley > California (North Coast) > United States".

You then only need to submit the Region column as Anderson Valley and the Country column as United States. You do not need to submit a Sub Region column.

You can alternatively enter your own text but if it doesn't match then we won't be able to calculate maturities.

Wine Maker

The person or winery who made the wine.

Wine Importer

Often times foreign wineries or producers don't bring the wines into the country, this is left to the importer. Keep track of the Wine Importer using this field.

Case Production

The numbers of cases produced for this wine OR enter the size according to Wines & Vines chart:

Large 500,000+
Medium 50,000 - 499,999
Small 5,000 - 49,999
Very Small 1,000 - 4,999
Limited Production < 1,000

100 point ratings. Search for Wine Spectator ratings: http://www.winespectator.com/wineratings

Things to note

  • This is a one time import.

  • If you have additional fields you want us to import please tell us when you submit your spreadsheet. We are happy to work with you to get your data into Personal Wine Curator.

  • If you have a multi-worksheet spreadsheet export from an app or website you have been using please contact us and we'd love to help you get it into Personal Wine Curator for you!
